You pay one of two ways: a flat fee that covers every mailbox (MXroute $59/yr, Migadu $19/yr, Faivelo $5/mo billed yearly) or a per-user rate of $1 to $7 a month that may include a full office suite. For email on your own domain without a full office suite, MXroute ($59/yr flat, unlimited domains and mailboxes) is our default recommendation in 2026. Migadu's $19/yr Micro plan is the cheapest credible entry point if you can live with its 20-outgoing-messages-a-day cap, and Fastmail Standard ($5/user/mo, its cheapest tier with custom domains) is the polished middle ground. Faivelo ($5/mo billed yearly for unlimited mailboxes, with calendar, an API, an MCP server and built-in transactional and campaign sending from $10/mo) is priced level with MXroute rather than under it, and is new enough to carry no uptime SLA or independent track record. If the team needs shared docs and video calls, Google Workspace and Microsoft 365 both start at $7/user/mo.

“Team of 5” is the ongoing yearly cost for five mailboxes at the renewal price, not the intro price. Flat-fee plans cover five mailboxes for the plan price; per-user plans are 5 × 12 × the per-user monthly rate. Migadu Micro’s 20-outbound-messages/day cap applies to the whole account, and Faivelo’s flat price covers unlimited mailboxes, so its five-mailbox figure is simply the plan price. Mailboxes bundled with hosting plans (IONOS, GoDaddy, Spaceship) are left out on purpose: they end when the hosting plan does.

Best email hosting for small business: the five-person, three-year total

For a small business that only needs dependable email on the company domain, the obvious defaults are the expensive answer. A five-person team pays about $1,260.00 over three years for Google Workspace or Microsoft 365, $900.00 for Fastmail Standard, and $177.00 for MXroute, which does not count mailboxes at all. That spread, roughly 7× end to end, is the whole decision.

Per-seat suites. Google Workspace and Microsoft 365 (from $7/user/mo (Business Starter, annual commitment)) bundle email with documents, storage and meetings. The email is excellent. You pay for the whole suite on every seat, every month, whether that seat uses it or not.

Per-seat email-first hosts. Fastmail sells email, calendars and contacts as the whole product. Own-domain mail starts at the Standard tier, $5 per user per month billed annually, with no first-year promo, so the sticker is the renewal price.

Flat-fee independents. MXroute (from $59/yr (Small — 10 GB, unlimited domains & mailboxes), renews at same price at renewal) and Migadu (from $19/yr (Micro — 5 GB, unlimited domains/addresses), renews at same price at renewal) drop per-seat billing entirely: unlimited domains and mailboxes against a storage or sending cap. For a five-mailbox business, MXroute costs less per year than a single Google Workspace seat.

The honest counterweight: the suites bundle real value if you use it. Shared drives, Meet or Teams, device management and admin controls are things the email-first hosts do not try to match. The question is not which is cheapest but what the team actually uses. If people live in Docs or SharePoint all day, buy the suite you already live in.

Web hosting with business email included: what the bundle costs

Most shared hosting plans include mailboxes, and for a one-person site that is a fair way to start. The catch is that the mailbox lives and dies with the hosting plan, and the hosting plan is the part of the bundle whose price changes.

Of the hosts in the comparison table that bundle email, IONOS sells its Plus plan $1/mo on a 12-month term and renews it at $14/mo, the steepest disclosed jump we track. NetArt includes unlimited mailboxes with CloudHosting Start at $112.50/yr for the first billing period, then $18.75/mo ($225/yr) standard. Spaceship keeps its domain renewals flat but raises hosting and email renewals by 39 to 78 percent. GoDaddy does not print its hosting renewal rates on the plan page at all.

A bundled mailbox is also the hardest kind to leave. Moving web hosts means moving mail at the same time, and the migration happens on the old host's schedule rather than yours. A standalone email host from the table above survives every other change you make, and the cheapest of them cost less per year than the renewal step on most bundled plans.

The setup checklist that makes business email look professional

Whichever provider you pick, three things decide whether your mail arrives and reads as professional: authentication records published before the first send, role addresses that outlive the person who owned them, and keeping the registrar, the email host and the web host as three separate decisions.

Publish SPF, DKIM and DMARC before you send the first message. Every provider on this page documents the exact records and it takes about fifteen minutes. Start DMARC at p=none and tighten it once the reports show only your legitimate mail. This is also the honest answer to deliverability marketing: placement is decided by your DNS and your sending behaviour, not by a provider’s brand. If you own the domain already and want the DNS side in detail, start with email hosting for custom domains.

Create role addresses as aliases or shared mailboxes. hello@ and billing@ should not be a personal address that leaves when an employee does.
