Best Email Hosting for Business

Business email hosting is one decision where the obvious defaults — Google Workspace and Microsoft 365 — are often the right answer for the wrong reason. If your team lives in the suite, buy the suite. If you just need dependable email on your company's domain, you can pay less than half as much for a better-focused product. Suite prices below were verified in July 2026.

Summary verdict

Our pick for most small businesses

Fastmail Basic at $3/user/mo (billed annually, verified July 2026) is the best default for small teams that need professional email without the office suite: polished apps, painless custom-domain setup, and no intro-price games. Teams with many mailboxes across a few domains should price MXroute's flat $59/yr instead — per-seat math stops making sense fast. Choose Google Workspace or Microsoft 365 ($7/user/mo) only when the suite itself is the point.

The three ways to buy business email

Per-seat suites (Google Workspace and Microsoft 365 Business Basic, both $7/user/mo on annual terms at our July 2026 check) bundle email with documents, storage, and meetings. The email is excellent, but you're paying for the whole suite on every seat, every month, whether that seat uses it or not.

Per-seat email-first providers (Fastmail Basic, $3/user/mo billed annually) sell email, calendars, and contacts as the whole product. You keep per-user simplicity and roughly halve the per-seat cost — and Fastmail publishes no first-year promo, so the renewal price is the sticker price.

Flat-fee independents (MXroute $59/yr for 10 GB, Migadu from $19/yr) drop per-seat billing entirely: unlimited domains and mailboxes against a storage or volume cap. For a five-mailbox business, MXroute costs less per year than a single Google Workspace seat.

The per-seat math, worked

A five-person team over three years at standard rates: Google Workspace or Microsoft 365 ≈ $1,260. Fastmail Basic ≈ $540. MXroute ≈ $177 total — it doesn't care how many mailboxes you create. That spread, roughly 7×, is the entire decision for a team that only needs email.

The honest counterweight: the suites bundle real value if you use it — shared drives, Meet or Teams, device management, and admin controls that email-first providers don't try to match. The question is never 'which is cheapest' but 'what are we actually using.'

Deliverability is table stakes, not a differentiator

Every provider on this page supports correct SPF, DKIM, and DMARC configuration, and that DNS work — plus your own sending behavior — determines whether your mail lands in inboxes far more than the provider's brand does. We would not choose between these five on deliverability grounds, and we treat any vendor claiming a deliverability advantage with suspicion.

Best fit for

  • +Small businesses putting email on their own domain
  • +Teams auditing what they actually use from a $7/user/mo suite
  • +Owners consolidating role accounts (info@, billing@) across domains

Consider another option if

  • Your team collaborates in Docs or SharePoint daily — buy the suite you already live in
  • You want the absolute lowest price per mailbox — see our cheap email hosting guide
  • You need email bundled into a web hosting control panel

Questions readers ask

FAQ

For one or two mailboxes, Zoho Mail's free plan (up to 5 users, 5 GB each, one custom domain — verified August 2026) or Migadu's $19/yr Micro tier. For a working team, MXroute's $59/yr flat plan or Fastmail at $3/user/mo. See our cheap email hosting guide for the full cost table.
